Our client is an award winning multi-discipline commercial property and planning consultancy with regional offices throughout the South West and South Wales. They currently have a vacancy for an experienced Administrator / Secretary in their prestigious Bristol (BS8) office. The purpose of the role is to plan, co-ordinate and undertake all activities necessary to deliver and maintain a consistent and effective administrative and secretarial service to the Management services department. These will include; - Developing administrative initiatives and procedures to enhance and improve the efficiency of the department's administrative process; - Co-ordinate and present monthly fee reports to Head of Department and Accounts; - Ensure departmental records are maintained and up to date; - Arrange and minute department meetings, promoting inter-departmental communication; - Co-ordinate and administer the departmental QA audit programme, providing feedback to department and Quality Systems Manager; - Liaise with Marketing department to ensure departmental information is up to date; - Answer all unattended telephones within the department, taking messages and logging information as appropriate; - Attend Secretarial and other meetings as required; - Undertake administration and typing duties for members of the Management Services Team; - Prepare letters, WP documents, spreadsheets, presentations using Audio and Copy typing techniques; - Produce invoices; - Produce expressions of interest and tenders for new business opportunities; - Maintain diaries, setting up appointments & meetings as required; - Filing, photocopying, document collation and other general administrative duties as required. PERSONAL PROFILE Good communication and inter-personal skills; Excellent telephone manner; Methodical approach with attention to detail; Able to work on own initiative; Confident; Diplomatic; Numerate with basic understanding of Accountancy/Invoicing; Eye for Detail; Accuracy; Adaptable; Proactive; Receptive to change; Ability to work under pressure. ESSENTIAL REQUIREMENTS Previous experience within similar Administrative / Secretarial role Word (Audio Typing - 65 WPM minimum); Excel; Outlook; PowerPoint; Salary: £17,000 - 18,000 pa Hours: Mon - Fri 9.00am - 5.30pm Other benefits include: Annual bonus, annual salary reviews, pension, 23 days holiday Parking not provided.
